But nonprofits have one challenge that most businesses don\u2019t: volunteers.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For many organizations, volunteers aren\u2019t simply helpful \u2014 they\u2019re essential. They greet visitors, mentor children, staff events, serve on committees, lead programs, and often perform work that would otherwise require paid staff. They are one of a nonprofit\u2019s greatest strengths. Ironically, they can also become one of its greatest operational risks.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Not because volunteers are difficult, but because over time organizations naturally become dependent on a handful of experienced people who \u201cknow how everything works.\u201d Every nonprofit has them.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The volunteer who has chaired the annual fundraiser for fifteen years.<\/li>\n\n\n\n<li>The membership expert who knows every exception.<\/li>\n\n\n\n<li>The registrar who remembers why a policy changed ten years ago.<\/li>\n\n\n\n<li>The board member everyone calls before making a decision.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">These people are invaluable \u2014 but they also reveal a weakness in the organization. Their knowledge exists primarily in their heads, and when that happens, the organization becomes person-dependent. That isn\u2019t sustainable.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Knowledge Should Belong to the Organization<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The goal should never be to make experienced volunteers less valuable \u2014 quite the opposite. Their experience is one of the organization\u2019s greatest assets. The problem is when that knowledge isn\u2019t captured, shared, and preserved.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">One principle should guide every nonprofit:<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><em>\u201cNo volunteer should be indispensable, but every volunteer\u2019s knowledge should be.\u201d<\/em><\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">That\u2019s where AI creates an extraordinary opportunity. Imagine interviewing your most experienced volunteers, documenting their procedures, capturing the countless exceptions they\u2019ve learned over the years, and making that knowledge available through an AI assistant. Instead of asking one person, \u201cHow do we handle this?\u201d, every volunteer \u2014 and every staff member \u2014 can receive the organization\u2019s approved answer immediately. The expert doesn\u2019t disappear. Their expertise becomes available to everyone.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">AI Becomes Organizational Memory<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">For decades, nonprofits have struggled to preserve institutional knowledge.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Policies live in binders.<\/li>\n\n\n\n<li>Procedures sit on shared drives.<\/li>\n\n\n\n<li>The real knowledge lives with people.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">AI changes that. Instead of searching through manuals or hoping the right volunteer is available, people simply ask questions. The AI doesn\u2019t replace experienced volunteers \u2014 it extends their reach. Their knowledge continues helping the organization even when they\u2019re on vacation, serving on another committee, or eventually retire.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Better for Volunteers<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>New volunteers gain confidence faster.<\/li>\n\n\n\n<li>Experienced volunteers spend less time answering the same questions repeatedly.<\/li>\n\n\n\n<li>Volunteer coordinators spend less time solving administrative problems and more time building relationships.<\/li>\n\n\n\n<li>Most importantly, volunteers spend more time doing the work they came to do.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Better for the Mission<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">This isn\u2019t really a technology story. It\u2019s an organizational resilience story. When knowledge belongs to individuals, organizations become fragile. When knowledge belongs to the organization, people are free to contribute without becoming bottlenecks.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That\u2019s one of AI\u2019s greatest opportunities for nonprofits \u2014 not replacing volunteers, not reducing headcount, but helping organizations shift from person-dependent to knowledge-dependent.
